The Mission - The mission of the Poland Office Manager in the Ukraine Crisis Response is to support VOICE’s
emergency response work through managing the daily operations of VOICE’s Krakow office. This critical role will
manage multiple elements of VOICE’s operations and administration in Poland, including overseeing financial, key
external and internal communications, and events programming. The role will support VOICE’s collaborative and
creative work in Krakow, as well as its sustained and mutually supportive engagement with the local feminist
community and partner women-led organizations.

Responsibilities / Essential Job Function

  • Support VOICE partners in scheduling, setting up, and utilizing the office facilities, providing administrative or troubleshooting support as necessary
  • Ensure that the office and its infrastructure are working smoothly and escalating any issues if required (e.g., IT, kandlord, suppliers, etc). Liaise with facility management vendors, including cleaning, maintenance, repairs, and security services
  • Facilitate the drafting and signing of contracts with office vendors and service providers, in collaboration with
    VOICE legal advisors and the Poland Logistics Lead
  • Support the Poland Team as needed on logistical arrangements regarding lodging, travel, procurement, services and materials, as well as in project management matters related to the specificity of the Polish context


  • Minimum of 2 years of experience providing operational/logistics support and/or program management.
    Event organization experience preferred
  • Advanced English language skills required, Ukrainian preferred
  • Experience with arrangement of complex schedules and logistics, at times, across multiple time zones
  • Background in working in feminist spaces highly preferred
  • Comfort with ambiguity and agility to adjust plans as needed. Ability to be flexible in response to changing
    priorities and needs
  • Excellent problem-solving skills and ability to exercise independent judgment
  • High proficiency with various computer software applications – Microsoft Office Suite, Google Docs, Sheets
    and Slides
  • Experience with managing office related purchases and accounting activities preferred
